Surveys & Responses > Configure Surveys 

The survey section is where the details for the survey can be edited and enabled for all 4 survey types.


To Manage Surveys: 
  1. From the main navigation, select Comms.
  2. Select Surveys.
  3. Select tab for one of the 4 survey types.
  4. Select survey name or Add Survey (Available only for Custom and Static Surveys).
The survey name is determined from the back-office setup and is for internal reference only. Recipients will not see this name. It is not recommended to change the survey name.
 
To Rename a Survey:
  1. Select the edit (pencil) icon next to the survey name.
  2. Enter the new survey name.
  3. Select Save & Exit

Most survey types, except static surveys, follow a five-step configuration process by default. Each step allows customization to ensure the survey meets its purpose and branding. This guide outlines the five key steps involved in building surveys and details the configuration of each step. 


Departmental and Preset Surveys are transactional and require initial setup in the back-office; only after this setup is complete will the department appear in MemberInsight, where the survey can be configured using a five-step process. 

In contrast, Custom and Static Surveys are non-transactional and can be created directly within MemberInsight without any back-office setup.
 

Configuring the Five Steps

This is the most crucial step, as it defines how the survey will appear to recipients. The survey design step is divided into three main sections:


Section One Header Configuration


This is where the company logo can be customized for a survey. 

The header configuration is determined by one of the 3 options selected with the button on the right:
  • Inherit from Branding: Uses the logo setup from Brand section.
    • Image will not be displayed on screen, use Preview Survey button or go to Brand - Customisation to see logo. 
  • Inherit from Location: Uses the logo setup from the Locations section.
  • Set on this Page (Custom Header): Allows a different logo to be used specifically for this survey.
    • Image will display after it has been uploaded.
To Upload a Custom Header:
  1. Select Set on this Page.
  2. Drag & drop to upload image or select or, click here button to find image from the local computer.
  3. Ensure the header image is properly sized and formatted before uploading.
This is one way to set up the header simply with a logo.

For a more customized header, a section called Message Blocks can be used to set up additional text and images to be used as an email header and footer. Once setup, it can be selected in the Email Header and Email footer options below. For more details on creating a customized header, see Message Blocks.
 

Section Two Addition of Personal / Reminder Message


Add Personal Message: A personal message appears below the header and above the survey. This can include a greeting or a short introduction to the survey. This section is optional to configure.


To Configure a Personal Message:

  1. Select Add Personal Message tab.
  2. Use the editor to input and format the message.
    • Font tools and formatting options are available for customization.
    • Insert token (Optional): Fields found under the editor box, are merge fields that can be used to personalize the message for each recipient. Select a field and it will be added to the editor in between square brackets [ ].
      • Example: Hi [FIRST_NAME],
      • The text in the square bracket will be replaced with the recipient's name if it is available from the back-office or uploaded from a file. If the field is blank, then it would be a blank space.
Reminder Message: If the original email survey is not responded within a few days, a reminder email with the survey can be sent and the reminder message can be customized. The reminder emails will only be sent if it has been enabled from the Limits - Expirations and Reminders section. 

To Configure a Reminder Message
  1. Select Add Reminder Message tab.
  2. Use the editor to customize the message. This is the same edit used for the Personal Message. See above for details.  

Section Three Setting Up the Survey Question 


Since this is a customer satisfaction program most surveys must start with the NPS question to generate the NPS score.


The NPS can be customized using predefined NPS variations or even be disabled, depending on which one of the four survey types has been selected.

Departmental and Preset survey types, the NPS question is mandatory and cannot be removed.

Custom and Static survey types, including the Net Promoter Score (NPS®) question is optional. 

Include NPS question: By default, will be toggled on.
  • On = Green - NPS question will be sent and there is option to add custom questions.
  • Off = Red - Only custom questions created with Questionnaire builder will be sent to recipients.

 

Default NPS question for 3 survey types: Presets, Custom and Static.


How likely are you to recommend Club Name to friends and family?

In the NPS question, club name customization is determined by one of the 3 options selected with the button on the right:
  • Inherit from Branding: Uses the club's name setup from Brand - Your Organisation section.
  • Inherit from Location: Uses the club's name setup from the Locations - Your Location section.
  • Set on this Page: The club's name will display but it can be edited within the NPS question section. 
Within the NPS question, the text to address the audience can also be edited. This option is available for all three options (Inherit from branding, Inherit from location and Set on this page)
  1. Select the audience field with arrow pointing down to display drop-down list.
  2. Select one of the following 
    • friends and family
    • someone you know
    • a colleague
    • other - When other is selected, the field is editable, and the club could enter any text. Often clubs would select this option and change the text to 'another member'.
 

Default NPS question for Department survey type. 


Based on your recent visit, how likely are you to recommend Main Dining Room to another member? 
The NPS club name customization is determined by one of the 2 options selected with the button on the right:
  • Inherit from department: Uses the department name that was setup from the Back-office. 
  • Set on this Page: The department name will display, but it can be edited within the NPS question section.
Option One: Select Time Scale
 

Recently / Yesterday button: This will determine when the member visited the club.


If the club chooses to keep members in the Audience for more than one day, it is suggested to select Recently.
  • Recently = Based on your recent visit. Word visit can be edited, example experience. 
  • Yesterday = Based on your visit yesterday. Word visit can be edited, example experience. 

Option Two: Select Audience


Within the NPS question, the text to address the audience can be edited. This option is available for all three options (Inherit from branding, Inherit from location and Set on this page)

  1. Select the audience field with arrow pointing down to display drop-down list.
  2. Select one of the following 
    • friends and family
    • someone you know
    • a colleague
    • other - When other is selected, the field is editable, and the club could enter any text. Often clubs would select this option and change the text to 'another member'.

Number scale for the NPS question will always start at zero and end at 10, this cannot be edited. Number scale labels, Not at all likely and Extremely likely are defaulted. 

Use Custom Question

This toggle will only be visible if the club would like to setup further customization of the NPS question or would like to change the number scale labels.
Example
  • Club does not want to use the word recommend or want to word the question differently.
  • Not at all likely change to Poor / Unsatisfied
  • Extremely likely change to Exceptional / Very satisfied

Adding a Questionnaire
  • In addition to asking the NPS question in the survey, additional questions can be added if they have been set up from the Comms > Questionnaire section. For details on creating custom questions, see Questionnaire Builder 

To Include Additional Questions to Survey

  1. Select drop-down under Add question set.
  2. The drop-down will display questionnaires created and saved with a Ready status.
    • If the wrong questionnaire was selected, select the x to remove the question set.
  3. Select Save & Exit.
If the additional questions are no longer required after a month, the question set can be removed.

Once a Custom survey has been sent with additional questions, they cannot be removed. 


To Remove Additional Question from Survey
  1. The survey must be disabled temporarily for the Remove button to be enabled.
  2. Select Comms > Surveys
  3. Select tab with type of survey
  4. Toggle beside survey name and disable survey
    • Green = Enable
    • Red = Disabled
  5. Select name of survey
  6. Select 1 Survey Design
  7. Add Question set - Select Remove button to remove the questionnaire.
    • If remove button is disabled, it's because the survey is still enabled. Or Additional questions were never added to survey in the first place.
  8. Select Save & Exit 
  9. Remember to enable the survey by changing the toggle back to green beside survey name, if they survey is supposed to be sent.
 
Configuring a Second Header and a Footer Using Message Blocks

The Email Header and Email Footer sections can be set to None and are optional to use.

The customized header and footer is set up in a section called Message Blocks. For more details on creating a customized header or footer see Message Blocks. This must be set up before it can be assigned to a survey.

To Assign Email Header or Email Footer Created Using Message Blocks
  1. Select option from drop-down list
    • None - custom header or footer will not be added to survey
    • Brand - Brand Message Block details will be added to survey.
    • Location - Location Message Block details will be added to survey.
    • Department - Department Message Block details will be added to survey.
  2. Options can be different. Example The survey can be set up to use the Brand email header but use the Department email footer.
 
Changing the color of the survey

The color for the numbers in the number scale, club name and labels for the scale can be edited using the Brand Colour.
The brand color is determined by one of the 3 options selected with the button on the right:
  • Inherit from Branding: Uses the brand colour setup from Brand - Customisation section.
  • Inherit from Location: Uses the brand colour setup from Locations - Customisation section.
  • Set on this Page: Allow a different color to be selected and used specifically for this survey : Custom color.
To Select a Custom Brand color:
  1. Select Set on this Page.
  2. Select colored square to choose the color using color picker, Hex code or RGBA color.
  3. Scroll up to see where new color choice will display in the NPS question.

Privacy Policy URL 

This should be the same for all surveys.
  • Inherit from Branding: Uses the Privacy Policy URL setup from Brand - Your Organisation section.
  • Inherit from Location: Uses the Privacy Policy URL from Locations - Customisation section.
  • Set on this Page: Allow different Privacy Policy URL selected and used specifically for this survey: Custom Privacy Policy. 
After a NPS score has been selected, a comment box will be displayed. The label for the comment box is defaulted to display the same text regardless of the score selected. 
 
What is the main reason you have given the score above?

This is where the label displayed above the survey comment box can be managed. The label can be customized according to each score type to provide appropriate feedback.

To Edit Text Displayed Above Survey Comment Box
  1. Select a Score 
    • 0-6 (Detractor)
    • 7-8 (Passive)
    • 9-10 (Promoter)
  2. Edit text.
  3. Select Save & Exit.
Example:
Score of 9 - 10 change the title to:
 
What is the main reason you have given us such a great score above?
 
Customizing the title above the comment box enhances the recipient's experience by providing tailored responses after survey completion.
 

The Audience section is where surveys recipients can be filtered differently based on each survey. Reminder static survey types will not have an Audience section since those surveys are accessed via a link.

For Presets and Departments survey types, the Sends to number of people really represents the number of people that are eligible to be selected for a survey. For details on the selection process, see How are recipients selected.



Filters can be added to select the correct recipients for the survey; they are grouped into three main categories:

  • Demographic: includes basic member details (e.g., age, gender).
  • Membership: allows filtering based on membership status or type.
  • Activity: allows targeting based on member interactions. 

For Custom surveys, the Person is in Segment filter (used to select CSV file uploaded with recipients) must be added first before other filters can be applied. For more details, see Recipients for Custom Surveys.

To Manage Filters 

  1. Select Add Filter button.
  2. Filter name will be added.
  3. Select drop-down to see criteria options for the filter.
  4. Set values for criteria if required.
  5. Repeat process to add more filters.
  6. Select x beside filter if the filter is no longer required.
  7. Select Update Preview button - number of eligible people will be recalculated to match filters and displayed in the table.

 Age filter should only be used if club keeps track of member birthdays in back-office. Otherwise, audience will always be zero and this message will display.
 

No people found

There are no people in this segment, surveys will not send until at least one person matches the segment criteria.

 

Important Information About Survey Recipient Selection
  • In Preset and Departmental surveys, the recipients are not necessarily the same as those shown in the preview.
This step is used to edit the sender details that will appear in the emails sent to survey recipients. Proper configuration of sender information ensures consistency and helps build trust with recipients. This step is particularly relevant for Preset, Departmental Custom Surveys and are not available for Static Surveys.

From Name

The name that the email will appear to be from.
The from name is usually defaulted to Inherit from branding and display the club or person's name that was set up in the Brand section.

Use one of the 3 options selected with the button on the right:
  • Inherit from Branding: Uses the email from name setup from the Brand - Communication section.
  • Inherit from Location: Uses the from name setup from the Locations - Communication section, 
  • Set on this Page: Allows the from name to be customized specifically for this survey.
Reply-To Address

The Reply-To address used in the email. If a recipient replies to the email, then it will go to this address. Also, it will be displayed as the from email address for the survey.

The Reply-To address is usually defaulted to Inherit from branding and display the email address that was set up in the Brand Section.

Use one of the 3 options selected with the button on the right:
  • Inherit from Branding: Uses the reply-to address setup from the Brand - Communication section.
  • Inherit from Location: Uses the reply-to address setup from the Locations - Communication section, 
  • Set on this Page: Allows the reply-to address to be customized specifically for this survey.
These settings ensure that the email appears correctly branded and aligned with the club’s communication standards.
 
This step provides additional controls for how and when a survey is sent to recipients.
5 Sending options will be found in Presets, Departments and Custom survey types. 

Send Push Notification

This feature is only available for clubs that have the ClubHouse Online Premium Mobile App.


Surveys will always be sent via email; this feature will allow the survey to be sent via push notification along with the email. Recipients will tap anywhere in the push notification and the survey will open automatically.
  • Red = Disabled
    • Survey will be sent as an email only.
  • Green = Enable
    • Survey will be sent as an email and a push notification will be sent as well, 
    • This can help increase survey visibility and response rates.
    • The notification title will be "Your Feedback Matters" and the body will be the personal message with any images or rich text formatting removed and hyperlinks as plain text.

By default, all surveys would use the following options that have been setup from the Settings > Limits section. These options can be overridden for a specific survey. 

Survey Send Time
  • The time of the day to start sending the survey.
  • Text Default will display, see Settings > Limits section to see what time was selected.
  • To override default time, select time from drop-down to be used for a specific survey.
Segment Sample Percentage and Segment Sample Number options are only available for Department and Custom survey types.
This allows flexibility in controlling the number of recipients receiving surveys. Example: Main Dining Room (35%), Patio (40%), Golf Shop (20%), and so on.
  • Default values will display, see Settings > Limits section to see what value was selected.
  • To override default values, enter new values to be used for a specific survey.
For detailed explanations of each option, refer to the Limits > Overriding Limits at a Survey Level section within the MemberInsight settings.

Preview Survey

Before a survey is enabled and sent, it is recommended that administrators preview the surveys after changes have been made to the 5 steps. There's also an option to send the survey to users to preview the survey within their inbox. 

Select Preview Survey button at bottom of page.
  • The Preview Survey button is not available for Static survey types. 
 
Reminder Survey Toggle

By default, this toggle will be disabled to display the original survey in preview. select toggle to show reminder survey details.
  • Red = Disabled
    • Preview will show information for original survey with Add Personal Message set up in 1 Survey Design.
  • Green = Enabled
    • Preview will show information with Reminder Message set up in 1 Survey Design.
    • Reminder: will be added in front of the subject line.
Exit Preview 

Select Exit Preview button to close the preview window and return to screen with 5 steps.
 
Desktop Preview

Select Desktop Preview tab and it will show a sample of the emailed survey when viewed from a desktop device. 
  • Subject: Always start with How likely are you to recommend... 
    • When reminder survey toggle is enabled Reminder: How likely are you to recommend...
  • The subject cannot be edited unless NPS Question is disabled when sending a Custom survey.
  • Add Personal Message / Reminder Message will display if text was added in 1 Survey Design.
  • NPS number scale is displayed horizontally. 
  • Message Block details will display if the Email Header and Footer were set up in 1 Survey Design.
 
Mobile Preview

Select Mobile Preview tab and it will show a sample of the emailed survey when viewed on a mobile device. 
  • Displays same information as desktop view.
  • Only difference is the NPS number scale is displayed vertically.
Send Email Preview


Select Email Preview tab to send a preview of the survey to be viewed from an inbox instead of on screen using the desktop or mobile preview tabs. 

  • When the email shows up in the inbox the word Preview will be added in front of the subject line. 
  • The NPS score can be selected but the score will not be recorded as the link will be disabled in the preview email to ensure integrity of the club's NPS score.
  • The preview can only be sent to anyone that has a user account set up in MemberInsight.


To Send Preview

  1. Select a username from the Available column.
  2. Drag it to the Selected column.
  3. Repeat process to select more names.
  4. Select Send preview to selected users button to send the email preview.
    • If this button is disabled, it's possible that changes were made to the 5 steps and was not saved.
      1. Exit Preview.
      2. Select Save.
      3. Select Preview Survey button.
      4. Select username to send preview. 
Push Preview

This tab will only display if send push notification was enabled from the 5 Sending Options.

Displays a sample of the push notification when viewed from a mobile device. 
Notification Title: Your Feedback Matters will always display and cannot be Edited.
Message displayed in body of the notification relies on the Add Personal Message tab.
  • No message added = Click on this notification to complete the survey will be displayed in the push notification.
  • Message added = Additional content (rich text formatting or hyperlinks) added will be displayed as plain text and images will not be included in the push notification.

Send Survey

The survey can be enabled from 2 areas but only disabled from one.

Once all 5 steps are updated and saved, the survey can be enabled.


To Enable a Survey from Screen with 5 Steps
  1. Select Send Survey button at the bottom screen.

    • Static surveys will not have this option.

  2. Option to start sending later or today.

    • Activate Now - Presets and Departments survey types

      • Survey will send according to the next survey send time as indicated in the Limits section or time set from 5 Sending Options,

      • Toggle beside survey name will be green indicating that it is enabled in the Survey list.

    • Send Now - Will display for Custom Survey types

      • Survey will send according to the next survey send time as indicated in the Limits section or time set from 5 Sending Options,

      • Would you like to include people who may have been sent a survey within the last 7 days? 

        • Yes / No 

      • Toggle beside survey name will be green indicating that it is enabled in the Survey list.

    • Schedule for Later

      1. Select Date to start sending.

      2.  Time sent will follow what is set in Limits section or time set from 5 Sending Option

      3. Toggle beside survey name will be green indicating that it is enabled in the Survey list.

      4. Start date will display beside toggle.

For Presets and Departments survey types, once enabled the surveys will send automatically every day at the survey send time to eligible recipients.

For Custom surveys, once enabled it will only send the survey out once to the recipients. 

 

To Enable / Disable a survey from Survey List screen


A survey can be enabled from the survey list screen and the screen with the 5 steps.
The survey list screen is the only way to disable a survey. 

  1. From the main navigation, select Comms

  2. Select Surveys.

  3. Select tab for one of the 4 survey types.

  4. Select toggle beside survey name to enable / disable survey

  5. When toggle is red, survey is disabled and not sending to recipients.

  6. Select Red toggle and option to start sending later or today will display.

    • Activate Now - Presets and Departments survey types

      • Survey will send according to the next survey send time as indicated in the Limits section or time set from 5 Sending Options,

      • Toggle beside survey name will be green indicating that it is enabled.

    • Send Now - Will display for Custom Survey types

      • Survey will send according to the next survey send time as indicated in the Limits section or time set from 5 Sending Options,

      • Would you like to include people who may have been sent a survey within the last 7 days? 

        • Yes / No 

      • Toggle beside survey name will be green indicating that it is enabled in the Survey list.

    • Schedule for Later

      1. Select Date to start sending.

      2. Time sent will follow what is set in Limits section or time set from 5 Sending Option

      3. Toggle beside survey name will be green indicating that it is enabled in the Survey list.

      4. Start date will display beside toggle.

    • Static Survey Types

      • Toggle beside survey name will be green indicating that it is activated.

      • If the survey is not activated, recipients will not be able to access the survey details when they use the link.

  7. When toggle is green, survey is enabled.

    • Presets and Departments survey types

      • ??Select Green toggle to disable survey and it will stop sending.

    • Custom Survey types

      • ?If the send date is in the future, select green toggle to disable survey and it will not send.

      • If survey has already been sent, survey cannot be stopped. Select Send tab to see survey details.

    • Static Survey Types

      • ??Select green toggle to deactivate survey. If anyone accesses the link with the survey, they will not be able to see the survey.

 After configuring the survey settings, select Save and Exit at the bottom right of the screen. This action returns to the a table, where all surveys are listed.

By default, a newly created survey is disabled. To enable it, use the toggle switch located on the far right of the survey’s row.

When the toggle is turned on, a pop-up appears with two options:

  • Activate Now – to start sending the survey immediately.

  • ?Schedule for Later – to select a future date for the survey to begin sending.

To disable an active survey, simply toggle the same switch off. Once disabled, the survey stops sending automatically.
